About the Team:


The Regional CRES (Corporate Real Estate & Services) group is a team of talented and motivated individuals based throughout the Americas. The team manages all Real Estate and Facilities operations and develops and provides professional solutions to our stakeholders at all levels of the organization. We are a trusted advisor and partner to ensure that high levels of service and standards are regularly exceeded. To achieve this, we constantly engage with internal and external experts and leverage individual skills and knowledge across our team to inform business decisions.

 

About the Role:


We are looking for a highly motivated and experienced real estate and facility operations professional¾ideally in combination with customer experience and project management expertise¾to lead a team that will run a 500,000 sq. ft. facility in Armonk, New York. You will work on a wide variety of real estate operations, various projects and initiatives across Swiss Re's business units and lines of business; the primary focus will be on Armonk. As a member of the Corporate Real Estate & Services (CRES) Americas team, you will also support the Head of the East Region in creating and developing an environment of continuous improvement and professionalism in interacting with our stakeholders and external partners. This role is responsible for internal client relationships and real estate operations management for offices located within the Armonk facility.

 

Responsibilities of Position:

Overview:

  • Responsible for key performance indicators: Annual Operations Survey Results, % of Office Space Utilization, % of Variance from Budget, Audit Reports, Office Maintenance, Contractor/Vendor Performance and Carbon Footprint Targets.
  • Manage risk for the site, providing regular risk control assessments and appropriately reporting, and working to resolve, any incidents and/or operational events.
  • Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
  • Best candidates will have a genuine interest in in anticipating and serving the needs of others. A warm demeanor and desire to collaborate with others is key.
  • Manage space allotments for each business unit within the office. Oversee office moves, onboarding and offboarding workspace changes within the workplace management tool (Insite).
  • Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results. Responsible for setting department deadlines. Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
  • Manage site Business Continuity Plans ensuring appropriate procedures are documented and staff is fully trained.
  • Oversee Global Management System reporting and complete audit requirements including ISO 14001 environmental reporting for the office. Oversee Green Team initiatives for the office.
  • Collaborates with company and client IT teams to assess technology, training needs and implementation of program(s), training and tools for Workplace Experience teams and clients.
  • Coordinate with the Conference Services Business Partner for all Armonk conferences, events and large-scale meetings.
  • Manage a team of 5-10 direct reports, full team of 15-50 employees.

 

Relationship / Vendor Management (this section has some duplicates)

  • A proven track record of vendor and partner management and monitor levels of performance, accountability, and deliverables.
  • Oversee external vendors for document management, food service, security, cleaning, and all office maintenance including monitoring performance, accountability, deliverables and invoicing as defined by proposal and/or contract.
  • Manage contractors for construction and infrastructure projects ensuring that works meets contract scope including all deadlines (project dates and budget).
  • Maintains relationships with vendors that provide services and goods. Ensures all vendors used have current proof of insurance and contractual documentation in place per requirements.

 

Supervisory Responsibilities:

  • Manage a team in one or more offices; provides direction on employee management (e.g. recruitment of talent, Continuous Performance Management, etc.); makes recommendations on budgets and cost reductions.
  • As part of CPM, create and implement staff development plans to continually improve required skills and behaviors.
  • Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.
  • Ensures consistency in support provided by the team through continuous review and improvement of existing processes. Works with managers to resolve conflicting priorities. Interprets and communicates goals and direction with management, sets achievable goals that are linked to the objectives of the organization.
  • Provides formal supervision to individual employees within single functional or operational area. Approves subordinate's recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval.
  • Plans and monitors appropriate staffing levels and utilization of labor, including overtime.
  • While adhering to all HSE requirements established for CBRE employees, supervisors and managers are required to:
    • Provide sufficient distraction free time for employees to complete all required HSE training & support the HSE training program implicitly
    • Investigate and resolve (if possible) all reported unsafe conditions / acts and communicate results back to the affected stakeholders
    • Support stop work authority when it is exercised in good faith
    • Communicate any / all potential workplace hazards and workplace procedures

 

Communication Skills

  • Exceptional written and verbal communication skills
  • Ability to comprehend, analyze, and interpret the most complex business documents.
  • Ability to respond effectively to the most sensitive issues. Ability to write reports, manuals, speeches and articles using distinctive style.
  • Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups.
  • Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action.
  • In collaboration with the Change Manager role draft office communications for internal clients and CRES staff for service and procedure changes and major transitions such as: office moves, restacks and significant service level or process changes.
  • You must be comfortable meeting and engaging with new people.

 

Financial Knowledge:

  • Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures.
  • Responsible for budgeting, forecasting, planning and monitoring $15-20M annual expenses. Inclusive of, reviewing all expenses and invoices for the office and ensure timely payment. Ensures that savings goals are met and adhere to approved budgets.
  • Conducts financial/business analysis including the preparation of reports.
  • Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company.

 

Safety Knowledge:

  • Manage all onsite health, safety and security for the office including managing fire and EAP drills, overseeing the maintenance of AED's and fire extinguishers and working on CPR and AED training.
  • Ensure safety standards are met by those delivery workplace experience services; whether company employees or third-party service providers.
  • Ensure HSE Parameters met:
    • Complete at a satisfactory level all required and assigned HSE training
    • Follow all activity policies and procedures, including all HSE related requirements at all times
    • Participate in all HSE related programs & activities as required, including incident investigations, interviews, auditing and assessment, etc.
    • Report any condition which you feel could result in an accident or injury and / or stop work if required
  • Additional Safety Responsibilities to Manage:
    • Be aware of and understand all safe work practices and procedures and potential hazards associated with the work environment
    • Maintain and wear at all times required appropriate personal protective equipment (PPE)
    • Apply appropriate material handling techniques at all times,
    • Only operate warehouse equipment and machinery (e.g. pallet jacks, manlifts, etc.) if properly trained, qualified and authorized to do so

 

Requirements:

  • Bachelor's degree or equivalent facilities work experience required.
  • Minimum ten (10) years of real estate and facility management experience in a global, highly professional environment required.
  • Minimum ten (10) years supervisory experience
  • Project Management skills including construction and fit-out experience
  • Demonstrated experience building customer/client relationships and creating workable solutions
  • Strong knowledge of lease language to comply with property standards and adhere to lease provisions
  • Excellent verbal and written communication skills including strong presentation skills, ability to write professional documents in a clear and concise manner.
  • Proficient in MS Outlook, Word, Excel, PowerPoint and Teams.

 

Travel Requirements:
This position requires some domestic and possibly international travel for meetings and trainings.
