This role provides administrative support to the CEO of iptiQ Americas. We will expect this person to assist with projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving and making adjustments to plans. They will manage heavy calendars and arrange/oversee complex travel arrangements. 

The work requires knowledge of overall department activities or specialized programs and services.   Work is performed independently on a variety of more complex office managerial duties in accordance with departmental policy and procedures.  This person will receive intermittent supervision on special assignments and is expected to carry out daily work without instructions and/or guidance

 

Essential Responsibilities

 

  • Screens incoming calls, mail, visitors and other requests evaluating the resulting importance of each.  Provides detailed information and answers questions to which information is known; directs questions to other appropriate staff when necessary.
  • Composes correspondence from brief instructions or notes. Verifies edits and formats documents and correspondence which may include confidential information.
  • Prepares agendas and supporting meeting materials, may take and transcribe minutes.  Prepares and distributes final meeting minutes and reports; conducts follow-up assignments as necessary.
  • Keeps CEO informed of all itineraries, meeting materials and appointments.  Maintains calendar; arranges all travel, meetings and conference calls, sends meeting invitations, registers visitors, reserves conference rooms and catering.
  • Prepares required requisitions for T&E expense reimbursements, responsible for replenishment of office supplies/equipment and maintains records of monthly invoices.
  • Prepares reports by collecting and analyzing information.  Creates and/or revises presentations/diagrams in Power Point.  Maintains spreadsheets in Excel
  • Develops office procedures, routines and filing systems as necessary; assesses efficiency of department procedures and recommends changes to management. Maintains archived files from off site storage facility; routine faxing, copying and scanning documents.

 

About You

 

  • Seasoned professional with extensive experience supporting senior executives (five year minimum).  This candidate must be high energy and organized with superior organization and analytic ability.
  • Qualified candidates must have excellent verbal and written communication skills, be detail orientated with the ability to prioritize multiple requests and deadlines.  Must have exceptional judgment, with proven ability to manage the life of a senior executive.
  • Successful candidates will be comfortable working in a fast paced environment, have the ability to interact with staff at all levels and will maintain the confidentiality of personal and sensitive information related to the job.
  • The position demands excellent follow-up skills.  The successful candidate will be an effective team player with a high level of discretion and superb decision-making ability; must be a flexible, detail oriented, thorough, self-starter with the ability to multi-task, anticipate, prioritize, and function well under tight deadlines, heavy workload and pressure
  • Proven experience working in a global enterprise organization and responsibility for managing multiple time zones for scheduling
  • Proven experience in event planning in a corporate environment is desirable. 
  • Bachelor’s degree or equivalent, preferred.
  • Exceptional technical skills, fast notes and typing required.  Strong working knowledge of Microsoft Windows, Excel, Word, Outlook, PowerPoint, Lotus Notes.  Project management experience is a plus.
