About the Role


•    Responsible to proactively manage schedules and calendars (organization of meetings, conferences, events of the team and off-sites including managing meeting-conflicts and deadlines)
•    Cooperate very closely with the assistants of the Group Operations peers at the Group Operations Committee, as well as other senior partners' assistants (e.g. COOs and Group EC members). Will need to also act in a agile way/pool to support the Transformation and also other central Group leaders as needed (HR/Finance etc).
•    Coordinate events & communication for Group Operations in Bratislava
•    Perform Project Management related tasks
•    Arrange travel itineraries, ensure adequate administrative cover and logistical activities, including travel & entertainment expense filings - not only for the Group Operations Transformation but also for his reports
•    Support, participate and coordinate ad hoc projects of Group Operations on administrative and logistics matters
•    Prepare presentation materials and vital documents
•    Key contact for Group Operations Transformation vendors around setting up purchase orders and ensuring payment of invoices
•    Interact professionally with all levels of Swiss Re's employees, customers & vendors
•    Attend team (15min) daily huddles and lead on key projects and deliverables
•    We perform ad hoc tasks as the need arises
•    Opportunity to grow into more technical and project roles within Group Operations if desired
•    Monthly consolidation of Group Operations Transformation key performance metrics
•    Responsible for updating of intranet around Transformation efforts
•    Fully involved in the business activities of the Transformation in Group Operations including contents that is highly confidential, and support Group Operations employees as needed

About You


•    Minimum 2-4 years' experience in an Executive Assistant role in multinational companies (financial, Insurance, banking industry is a plus) serving senior management
•    Strong ppt skills to help the team on regular Group Ops presentation decks
•    Ability to prioritize, work on multiple priorities, work independently and as a team in an ambiguous environment, proactively manage schedules
•    Self-starter, think ahead, ability to quickly adapt and execute in organized manner
•    Very strong interpersonal and organizational skills
•    Able to manage priorities of different partners with different deadlines in the most efficient way
•    Good attention to detail and time management
•    Ability to execute in a multifaceted, changing and matrix environment
•    It is encouraged to carry out daily work without a lot of instructions and/or mentorship
•    Great teammate with clear communication skills, self-motivated, dedicated and results driven person
•    Engaging and motivating, strong problem solving with sound organization skills
•    Ability to successfully get along with all levels of management to complete tasks
•    Proficiency with MS Office programs
•    Excellent command of English and Slovak. Any other language, especially German, is an advantage

 

Minimum base salary for this job from 1500 EUR gross/month/full time. Our offer to you may be higher based on your skills and experience and will include additional rewards and benefits.*
