Corporate Real Estate & Services Manager (Location: Schaumburg, IL & Chicago, IL)

About the role

This role is responsible for office operations management for the Chicago, IL, Schaumburg, IL and the Hiawatha, IA offices. The Office Manager will directly manage and oversee third party contractors in these offices. This includes reception, mail services, vending/coffee services and furniture maintenance.  The Office Manager will report to the Area Head, South and Central.


Responsibilities of position:

• Manage relationship with key internal clients, vendors and employees.

• Work with third party vendors to ensure their external staff understand what is expected of them.

• Plan and monitor annual expenses of 3 million.

• Review all invoices and ensure timely payment.  Key accountability for budgeting, forecasting and oversight of expenses for the office.

• Manage space allotments for each business unit within the office.  Oversee moves, on boarding and off boarding within the workplace management tool. (Insight)

• Manage site Safety and Security plans ensuring appropriate procedures are documented and staff is fully trained.

• Oversee external vendors for multimedia, document management, reception, service desk, work place management, environmental management and access management.  Monitor performance and ensure accountability that deliverables are met as defined by a proposal or contract.

• Enforce Safety and Security policies and procedures including desk audits and safety drills. Make required changes to office per audit findings.

• For infrastructure projects, manage vendors working on site, ensuring work is completed per the contract. Assist with creating the project budgets and business cases.

• Prepare Global Management System reporting and complete audit requirements including ISO 14001 environmental reporting for those offices that these standards are applicable to.  Manage green team meetings and initiatives for those offices with more than 50 employees.


Key Performance Indicators:

  • Annual Operations Survey results, % variance from budget, audit reports, office maintenance, contractor/vendor performance.

The Regional CRES (Corporate Real Estate & Services) team is a team of talented and motivated individuals based throughout the Americas. The team manages all Real Estate and Facilities operations and develops and provides professional solutions to our stakeholders at all levels of the organization. We are a trusted advisor and partner to ensure that high levels of service and standards are regularly exceeded. To achieve this we constantly engage with internal and external experts and leverage individual skills and knowledge across our team to inform business decisions.



About you

This role is responsible for internal client relationships and the real estate operations management for Chicago, Schaumburg and Hiawatha.  It is expected that time will be spent between Chicago and Schaumburg and when needed, travel to the Hiawatha office.



  • Bachelor's degree or relevant work experience required.
  • Minimum 5 years facility or office management experience preferred with a track record in building relationships.
  • Environmental experience preferred.
  • Minimum 5 years supervisory experience.
  • Knowledge of building leases/commercial real estate preferred.
  • Project management experience preferred.
  • Strong communications, verbal and written, required.
  • Proficient on MS Word, Excel and PowerPoint.
