About the Team

Swiss Re Corporate Solutions China is now looking to build business with personal insurance products sold under the brands of existing and new distribution partners. Execution of this strategy is via a B2B2C model across a variety of primary platforms.

In this role, you, reporting to Head Personal Lines, will be acting as the point of contact between iptiQ China team and APAC team, and among executives, employees, clients and other internal/external partners. You will manage information flow in a timely and accurate manner and manage senior executive's calendars, department agenda and set up meetings. As the main point of contact, you will also need to format information for internal and external communications, prepare reports, manage and assist in all ad hoc assignments as assigned. 

You will work with iptiQ Regional team and local China teams, including product managers, underwriters, partnership managers and others functional departments, and thus enjoy a high visibility.  

About the Role

•    Perform effective communications and strong support to Regional, Global and Headquarter counterparts
•    Provide Head Personal Lines with high level administrative and project support
•    Gathers, compiles, verifies and analyzes information for management's use in documents such as memos, reports, speeches, presentations, and news releases
•    Support Personal Lines in scheduling meetings, developing agendas, taking meeting minutes and following up on action items etc., plus assisting in team building events, opening ceremony etc. 
•    Receive VIP visitors and act as hostess for guests to provide logistics support
•    Anticipates to the needs of senior management and manages Personal Lines' schedule
•    Facilitate smooth communications between senior management and coworkers and between senior management and external parties such as media, customers, vendors and the public
•    Maintains the security and confidentiality of management's records and files
•    Reports required information on a regular basis as assigned (e.g. weekly/monthly/quarterly/annual)
•    Performs various tasks using independent judgment and discretion; e.g., screening and responding to incoming correspondence, inquiries, and phone calls
•    Arranges and coordinates travel arrangements including booking hotel/transportation, expense reports and visa/passport requirements
•    Act as formal resource for colleagues with less experience
•    Completes other activities for senior management upon request and/or as required

•    A Bachelor's Degree in marketing, communications, PR, economics, business, administrations or social studies etc.
•    A Master's Degree with overseas educational/working background is preferred

•    Excellent written and oral communication skills in Chinese Mandarin is a prerequisite
•    Fluency in English is must (can be a working language)

Professional experience
•    With at least 5 years' executive assistant experience in a foreign multinational/international enterprise or similar environment
•    Preferably, with 3 or more years' experience in an insurance company or other financial services companies
•    Rich experience in managing multiple priorities and ability to write high quality business documents
•    You have demonstrated proactive approaches to problem-solving with strong decision-making capability
•    You have a strong record in handling confidential information with discretion, be adaptable to various competing demands, and demonstrated the highest level of service and response
•    You have been with high degree of ethics and strong values and understand shareholders' interest.
