Executive Assistant
About the Role
You will be the Executive Assistant to the P&C Re Head Business Operations & Enablement (BOE), who is heading our global business operations and enablement teams, based in Bangalore. Whilst you are the sole EA to our Head BOE, you will also be part of an Assistant team reporting to the Assistant Team Leader SID, Market Unit Operations APAC, leveraging the wider assistant team to help backing up mutually on absences and collaborating to leverage each other's expertise.
Key Responsibilities

Executive Support: Provide proactive administrative support to the Head Business Operations & Enablement, including calendar management, travel coordination, expense administration, meeting prioritization, and support for day-to-day leadership activities. Optimize calendar, travel, and meeting schedules to maximize leadership effectiveness and efficient use of time.

Meeting Coordination: Support and coordinate leadership meetings, operational reviews, governance forums, and leadership visits, including agenda management, collection of pre-read materials, meeting logistics, minutes, action tracking, and follow-up with stakeholders. Maintain and monitor action logs arising from key meetings and engagements, proactively following up on outstanding actions and commitments.

Stakeholder & Communication Management: Act as a key point of contact for internal and external stakeholders, coordinating requests and supporting effective communication across a broad stakeholder network. Support the preparation, coordination, and distribution of leadership communications, presentations, town hall materials, and stakeholder updates as required.

Leadership Briefing & Information Management: Coordinate and consolidate briefing materials, pre-read packages, and relevant background information to support leadership meetings, stakeholder engagements, governance forums, and business travel.

Team & Community Coordination: Support onboarding activities, leadership team events, workshops, town halls, and engagement initiatives across the Business Operations & Enablement community, helping foster collaboration and effective execution. Support coordination of workshops, planning sessions, and community events involving globally distributed teams.

Leadership Visit Coordination: Coordinate leadership visits, including scheduling, logistics, stakeholder engagement planning, meeting coordination, and supporting materials to ensure a seamless experience for visitors and participants.

Event Coordination: Coordinate offsites (physical and virtual) and external events as required, managing logistics, participant communications, materials, and follow-up activities.

Continuous Improvement & Digital Enablement: Leverage digital and AI-enabled tools, including Microsoft Copilot and ChatGPT, to streamline workflows, improve productivity, automate routine activities, and continuously enhance the effectiveness and quality of leadership support.

The Assistants Team SID is part of the P&C Re Executive Office, Market Unit APAC Operations Team, tasked with supporting both the Market Units and the Central Units. We connect, enable, and execute to ensure the overall success of P&C Reinsurance.

BOE drives operational excellence, business performance, and effective execution across P&C Re. By bringing together operational governance, business operations, enablement, and performance management capabilities, the function ensures clear accountability, end-to-end ownership, and data-driven decision-making. The team acts as the operational backbone of the business, enabling consistent delivery of strategic priorities and continuous improvement across P&C Re globally.
About You
You are an experienced administrative professional with a proven track record supporting senior leaders and teams in a fast-paced, international environment. You are proactive, resourceful, and comfortable managing competing priorities with professionalism and discretion.
