Management Assistant

About the Role: 

 

•    Administrative support to Senior Vice President / Director(s) based in Bangalore and Zurich to facilitate smooth operational functioning of their office
•    The job includes all secretarial functions - Meeting arrangements, coordination, travel arrangements, reimbursement management etc, restaurant reservations and meal coordination
•    Manage the correspondence and communication - includes proper documentation, filing and retrieval of data
•    Calendar & Mail Management
•    Organize and Coordinate appointments, meetings & maintain daily log
•    Preparation of minutes of all the meetings
•    Prepare power point and other forms of presentations for internal and external meetings/attendees
•    Create Reports/MIS as per requirements 
•    Ensured timely assistance within and the cross functional teams for day to day activities
•    Organize internal Event, Seminars and Workshops 
•    Manage visitors & their engagements 
•    Responsible for Finance Onboarding program 
•    Responsible for community initiatives for the business unit
•    Acting as point of contact among executives, employees, clients and other external partners.
•    Processing Expense reports

 

About you:

 

•    Graduate or Post graduate qualification in any discipline.
•    Min of 1-2 years of experience in similar role 
•    Excellent communication skills with ability to communicate with different cultures and people on various level
•    Excellent time management is a must
•    Strong working discipline with keeping deadlines
•    Self-driven, motivated and independent
•    Assertive and able to manage conflicts
•    IT Flair / Inquisitive and analytical mind
•    Excellent English written and spoken
•    Excellent knowledge of MS Office tools (Power point, Excel, Word), Outlook
