Executive Assistant (Hybrid)

About the role 

  

Our team consists of 12 Team and Executive Assistants located in Bratislava, and we are the point of contact for all administrative tasks and the driving effort for their execution, collaborating with our internal partners. 

We are ready to welcome a new team member to make sure things run smoothly and are prioritized properly. 

  

 Regular Tasks:

 

  • Manage calendars 

  • Oversee and sort inboxes 

  • Organize travel and itineraries 

  • Arrange client meetings 

  • Plan and execute offsite meetings from start to finish 

  • Coordinate agendas 

  • Take meeting minutes 

  • Track actions from key governance meetings 

  • Handle expenses 

 

   Further Tasks:

 

  • Organize townhalls: This includes agenda preparation, interactive ideas, and facilitation. 

  • Set up and organize meetings: This involves agenda preparation, taking minutes, facilitating, sharing recordings, and managing communications in OneNote. 

  • Draft internal communications 

  • Manage internal communications posts. 

  • Collaborate closely with the management team: On internal communications, client meetings, etc. 

  • Assist stakeholders with various events. 

  • Support business activities and special projects: Collaborating with teams and external partners as needed to meet deadlines. 

  • Track action items 

  • Organize sessions with leadership. 

  • Update organizational charts, team lists, and distribution lists. 

  • Coordinate conference schedules, where leadership will be speaking. 

  • Ensure teams have their RCSA signed off, according to deadlines. 

  • Administer tools and manage access. 

  • Update and add client profiles in CRM systems 

 

About You   

  

  • 3-5 years Experience in supporting management at the executive level, very good command of English 

  • Very good knowledge of MS Office tools (Outlook, PowerPoint, Excel, Word) 

  • Professional communication and organizational skills 

  • Excellent time management and ability to prioritize 

  • Flexible personality with a high self-motivation who adapts fast to various situations and responds quickly to challenges 

  • Able to anticipate possible risks/issues, maintains a solution approach 

  • Able to work independently with little or no supervision, while being a teammate and collaborative

For Slovakia the base salary range for this position is between EUR 1 700 and EUR 2 800 per month (for a full-time role). The specific salary offered considers: the requirements, scope, complexity and responsibilities of the role, the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.
