Executive Assistant (hybrid)

About the Role 

 

Our team consists of 9 Team and Executive Assistants located in Bratislava, and we are the point of contact for all administrative tasks and the driving effort for their execution, collaborating with our internal partners. 

We are ready to welcome a new team member to make sure things run smoothly and are prioritized properly. 

 

 

Your main responsibilities will be: 

  • Manage MD's daily agenda and plan ahead accurate meeting schedule 
  • Handle calendar management, including scheduling of internal/external appointments across time zones and arranging all required logistics (rooms, video conferences, catering, accommodation etc) 
  • Organization of business trips (booking flights, transfers, accommodation etc.) 
  • Organization of client visits (booking rooms, registering guests, ordering lunches etc.) 
  • Support in Event Management (Invitations, registrations, reporting) 
  • Active role as Data Steward in CRM system (creation and updating of new/existing Contacts, Partners and target groups) 
  • Updating of team flyers, team lists, organizational charts and distribution lists 
  • Filing and supervising expense reports, processing incoming invoices 
  • Coordinating office events and team events 
  • Ordering of access rights for tools 
  • Support with setting up and evaluation of surveys 
  • Supporting international clientele 

 

About You 

  

  • 3-5 years Experience in supporting management at the executive level, very good command of English 
  • Very good knowledge of MS Office tools (Outlook, PowerPoint, Excel, Word) 
  • Professional communication and organizational skills 
  • Excellent time management and ability to prioritize 
  • Flexible personality with a high self-motivation who adapts fast to various situations and responds quickly to challenges 
  • Able to anticipate possible risks/issues, maintains a solution approach 
  • Able to work independently with little or no supervision, while being a teammate and collaborative

For Slovakia the base salary range for this position is between EUR 1200 and EUR 1900 per month (for a full-time role). The specific salary offered considers:

the requirements, scope, complexity and responsibilities of the role,

the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.

 

In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
