Executive Assistant & Operations Specialist
About the Role
We are seeking a highly organized and proactive professional to provide comprehensive executive assistance and operational support. This role combines traditional administrative responsibilities with a strong focus on coordination, communication, and high-quality content creation. The ideal candidate thrives in a fast-paced environment, demonstrates excellent attention to detail, and is comfortable managing both logistical and strategic support tasks.
Specific responsibilities that you will perform include but not limited to:
Executive Support
- Manage complex calendars of Chief Audit Executive and other Managing Directors in GIA, schedule meetings, and coordinate across multiple stakeholders and time zones
- Prepare briefing materials, agendas, and follow-ups for meetings
- Act as a gatekeeper and facilitator for executive priorities
Event & Meeting Coordination
- Plan and execute internal and external events (e.g., workshops, leadership meetings, offsites)
- Handle logistics including venue, materials, communications, and participant coordination
- Ensure smooth execution and high-quality participant experience
Content & Presentation Development
- Create and refine high-quality presentations (PowerPoint/Google Slides) for senior audiences
- Consolidate and structure input from multiple stakeholders into clear, compelling materials
- Ensure consistency in messaging, formatting, and visual standards
Operational Support
- Coordinate cross-functional inputs and track deliverables and deadlines
- Support planning cycles, reporting, and internal communications
- Identify opportunities to improve processes and increase efficiency
Stakeholder Management
- Liaise with internal teams and external partners to ensure alignment and timely delivery
- Maintain strong working relationships across functions and levels

About You
- Proven experience in executive assistance, operations, or a similar hybrid role
- Exceptional organizational and time management skills
- Strong communication skills (written and verbal) with a high level of professionalism
- Advanced proficiency in presentation tools (e.g., PowerPoint) and MS Office
- Ability to synthesize complex information into clear, structured outputs
- High attention to detail and quality standards
- Proactive, solution-oriented mindset with the ability to anticipate needs
- Comfortable working independently and handling multiple priorities
For Slovakia the base salary range for this position is between EUR 1,800 and EUR 2,800 per month (for a full-time role). The specific salary offered considers:
• the requirements, scope, complexity and responsibilities of the role,
• the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
