We are looking for an experienced Executive Assistant to join our dynamic team in Bratislava. The ideal candidate is an independent, proactive, forward thinking and able to work flexible hours. They excel at multitasking, managing priorities across multiple stakeholders and deadlines.

 

 

About the Team

 

We are team of 8 assistants based in Bratislava and we are supporting HR Executive Team members based in Switzerland and UK.

For our team it is important to have a team spirit. We are looking  for someone who will not have a problem to help when asked and who will be willing to share a knowledge with team members.

Your colleagues are open minded and they never say no when you are looking for an advice and help.

 

What tasks you should expect:

 

  • The ideal candidate should have a good organizational and communication skills and be able to adapt quickly to different working styles and environments
  • Manage and coordinate inboxes, calendars, including screening and prioritizing emails for stakeholders.
  • Setting up meetings - managing multiple complex diaries, using initiative to resolve conflicts, conference calls including invitations, conference room reservations and visitor registration.
  • Scheduling business trips, workshops, offsites and maintain confidential information
  • Expense Management - Preparation and processing of expense reports in a timely fashion
  • Invoice Management - Preparation and processing of invoices to meet payment deadlines
  • Provide cover as appropriate, working collaboratively with other team members
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed

 

About You

 

  • Experience as an Assistant or Executive Assistant is a must
  • Knowledgeable of Microsoft Office suite (PowerPoint, Excel & Word). Proficient with Microsoft Outlook.  Experience with TEAMs, SharePoint, and willingness to learn new tools. Ability to pick up new systems quickly
  • Excellent verbal and written skills in English
  • Comfortable organizing internal meetings and high-level B-Suite engagements, ensuring smooth coordination and effective communication at all levels of the organization.
  • Demonstrate outstanding work ethic and excellent attention to detail
  • Trustworthiness and absolute discretion is a requirement
  • Team-player and a well-rounded personality with an engaged, initiative and focused approach
  • Positive and outgoing personality, resourceful and can-do attitude

 

For Slovakia the base salary range for this position is between EUR 1300 and EUR 2100 per month (for a full-time role). The specific salary offered considers:

the requirements, scope, complexity and responsibilities of the role,
the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.

In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
