About the Role
The Executive Assistant provides day-to-day administrative and logistical support to the Public Sector Solutions team, enabling it to operate efficiently. The role ensures seamless coordination of travel, calendars, expenses, and internal tools, contributing directly to smooth team operations. This is a hands-on, execution-focused role that requires strong organisational skills, attention to detail, and the ability to anticipate and respond proactively to requests from multiple stakeholders in a fast-paced, global environment.
Executive Support
- Provide professional and advanced administrative support the PSS Team, including the Head of Public Sector Solutions when required
- Manage calendars, including scheduling, booking rooms, catering, and MS Teams setup
- Prioritise conflicting needs, handle matters expeditiously, and proactively follow through to completion
- Anticipate and respond to executive requests in a timely and proactive manner
- Perform other position-related tasks as required
- Build and maintain strong working relationships with assistants of internal stakeholders and external partners
- Manage access rights for tools and platforms
- Coordinate with IT to troubleshoot and resolve issues via ticketing systems
- Act as Data Steward for the Sales Advisor/C360 tool
Travel & Expense Management
- Arrange travel schedules for the Head of Public Sector Solutions and the PSS Team in line with Swiss Re’s policies, including bookings, visas, itineraries, and briefing materials
- Process expense claims and manage invoices
Event & Conferences Coordination
- Act as support the team’s Executive assistant in organizing the team's participation in high-profile events (e.g., World Bank, WEF, COP, Baden-Baden, Monte Carlo, NY Climate Week, OPEC) coordinating event-related logistics, including invitations, registrations, and on-site arrangements
- Act as support the team’s Executive assistant in organizing and coordinating international delegation visits, including arranging venues and logistics, preparing event schedules, coordinating with internal stakeholders (Client Managers, Origination Centre etc), and ensuring seamless execution during the visit
- Act as support the team’s Executive assistant in organizing Global PSS Team offsites
About the Team
The Public Sector Solutions team at Swiss Re partners with governments, public sector entities, and development organizations worldwide to build resilience through innovative risk transfer solutions. Our multidisciplinary team combines insurance expertise with public policy knowledge to address complex challenges like climate change, natural catastrophes, and infrastructure development, helping to close protection gaps and strengthen societal resilience globally.
About You
- Experience in an assistant or team support role, preferably in a fast-paced, international environment
- Proven track record in coordinating travel, managing calendars, and supporting meetings and events
- Experience processing expenses and invoices, with attention to accuracy and compliance
- Solid knowledge of MS Office, including Outlook, Microsoft Teams, Word and Excel
- Highly organized and detail-oriented, with the ability to manage multiple tasks and priorities simultaneously
- Proactive and responsive — anticipates needs and reacts quickly to time-sensitive requests
- Fluent in English; other languages such as German, Spanish are a plus
For Slovakia the base salary range for this position is between EUR 1,800 and 2,800 EUR per month (for a full-time role). The specific salary offered considers:
- the requirements, scope, complexity and responsibilities of the role,
- the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.
In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
