Operations Specialist

About the Role

 

As an Operations Specialist, you will support the day-to-day operational rhythm of a global technology organization building cloud-based SaaS solutions for external clients. You will coordinate key routines, prepare leadership materials, support planning and tracking activities, maintain collaboration spaces, and help drive clear communication across distributed engineering teams.

This role is ideal for someone who enjoys bringing structure, quality, and follow-through to a fast-moving environment, with the opportunity to gradually grow into project or program coordination responsibilities.

 

Key Responsibilities

 

  • Coordinate key engineering routines such as monthly calls, leadership meetings, workshops, agendas, meeting notes, and follow-up actions.
  • Prepare high-quality presentations, updates, and communication materials for the Leadership Team.
  • Maintain hiring plans, budget trackers, transformation updates, and other operational planning files.
  • Consolidate inputs from multiple teams and create clear views for leadership discussions and decision-making.
  • Support internal communications across the engineering organization, including announcements, leadership updates, and Viva Engage content.
  • Organize and maintain SharePoint and collaboration spaces, ensuring key documents, templates, and plans are easy to find and up to date.
  • Support selected cross-functional initiatives by tracking actions, milestones, dependencies, and progress.
  • Help coordinate workshop logistics, team events, and other activities that improve collaboration across global teams.

 

About the Team

 

You will join a global engineering organization responsible for building and maintaining multiple connected software products for external clients. Our teams are distributed across India, Madrid, Bratislava, and other global locations, working closely with product, architecture, operations, security, and business stakeholders.

 

We operate in a dynamic technology environment where clear communication, disciplined planning, and strong operational coordination are essential to success.

 

About You

 

You are highly organized, proactive, and detail-oriented with end-to-end view of your own activities. You enjoy helping teams work better, turning complex information into clear outputs, and help teams to navigate into ambiguity providing structures (such as design thinking workshops). You are comfortable working with senior stakeholders and across global teams, facilitating calls with 150+ people, and you bring a positive, collaborative, service-oriented mindset.

 

We are looking for candidates who meet these requirements

 

  • Previous experience in operations, coordination, enablement, communications, PMO, project support, or leadership support.
  • Strong organizational skills with high attention to detail and quality.
  • Excellent PowerPoint and Excel skills enhanced by AI.
  • Strong written and verbal communication skills.
  • Ability to manage multiple stakeholders, priorities, and timelines.
  • Ability to simplify complex information into clear slides, updates, trackers, or summaries.
  • Proficiency with Microsoft 365 tools, especially Teams, SharePoint, Excel, and PowerPoint and AI prompting and usage in general.
  • Proactive mindset, adaptability, and ability to work independently in an international environment.

 

These are additional nice to haves

 

  • Experience in a technology, engineering, SaaS, cloud, consulting, insurance, or financial services environment.
  • Familiarity with budgeting, workforce planning, hiring-plan tracking, or transformation reporting.
  • Experience supporting workshops, town halls, leadership meetings, or internal engagement activities.
  • Interest in growing toward project management, program coordination, PMO, or technology operations roles.

 

For Slovakia the base salary range for this position is between EUR 3,300 and EUR 5,400 per month (for a full-time role). The specific salary offered considers:​

  • the requirements, scope, complexity and responsibilities of the role, ​
  • the applicant’s own profile including education/qualifications, expertise, specialisation, skills and experience.​
