PMO Specialist (80-100%) - fixed contract until 31st December 2027

About the Role

As a PMO Specialist, you will be at the heart of a high-impact, enterprise-wide transformation program within Swiss Re's Records Management department. This is not a back-office coordination role — you will be a trusted partner to program leadership, project managers, and senior business stakeholders, driving governance, planning, and reporting disciplines that keep a complex, multi-year program on track. You'll bring rigour and transparency to decision-making, and where needed, step up to lead smaller projects or workstreams from start to finish.

Key Responsibilities:

• Prepare and deliver executive-level status reports, governance materials, and management presentations that inform and influence senior leadership decisions
• Coordinate and facilitate steering committees, working groups, and governance activities across multiple stakeholder groups and divisions, ensuring alignment and accountability
• Drive integrated planning by maintaining milestone plans, delivery roadmaps, and dependency trackers that provide a clear picture of program progress
• Manage risks, issues, actions, and decisions (RAID) proactively, ensuring timely escalation, resolution, and follow-up across all workstreams
• Consolidate, analyze, and communicate project information from multiple sources to support effective and timely leadership decision-making
• Ensure project artefacts and documentation are complete, consistent, version-controlled, and audit-ready at all times
• Support budget, resource, and vendor management activities, contributing to financial transparency and resource optimization across the program
• Lead smaller projects or workstreams end-to-end, from initiation through to successful delivery, with full accountability for outcomes
• Champion continuous improvement of PMO processes, reporting frameworks, and governance practices to raise the bar on delivery excellence

About the Team

The DAIRG (Data, AI and Records Governance) team sits within Swiss Re's Group Digital &Technology Office (GDTO) — a global function at the heart of Swiss Re's technology and data transformation agenda. We operate at the intersection of data strategy, artificial intelligence, and information governance, working across the organisation to build the foundations that enable Swiss Re to leverage its data as a strategic asset.

Within the Records Management domain, we are currently running a large-scale, two-year transformation program aimed at uplifting Swiss Re's global records management capabilities to the next level. This is a high-visibility initiative with broad organisational reach, executive sponsorship, and real strategic importance — and you will be a key enabler of its success.

About You

You are a structured, proactive, and confident delivery professional who knows how to navigate complexity without losing sight of the detail. You communicate with clarity and credibility at all levels — from working-level teams to senior executives — and you bring a calm, solutions-oriented mindset to fast-moving environments. You take ownership, follow through, and continuously look for ways to improve how things work.

We are looking for candidates who meet these requirements:

• Proven PMO or project management experience: Several years of hands-on experience in a PMO, project management, consulting, or delivery-focused role, with a strong track record of supporting structured program delivery
• Large-scale transformation program experience: Demonstrated experience supporting complex, enterprise-wide transformation programs involving multiple business and technology stakeholders across different divisions or geographies
• End-to-end project ownership: Experience independently leading smaller projects or workstreams from initiation through to delivery, with accountability for outcomes, timelines, and quality
• Advanced proficiency in key tools: Expert-level knowledge of PowerPoint, Excel, Microsoft Teams, and SharePoint, with the ability to produce high-quality materials and maintain robust program infrastructure
• Governance and RAID management expertise: Strong working knowledge of project governance frameworks, risk and issue management, and the ability to maintain rigorous tracking and escalation disciplines

These are additional nice to haves:

• Experience working in financial services, insurance, or a similarly regulated industry
• Exposure to vendor and budget management within a program context
• A recognised project management qualification (e.g. PMP, PRINCE2, or equivalent)
• Experience working in a global, matrixed organisation with cross-functional and cross-cultural stakeholder groups
• Strong data analysis and visualisation skills, with the ability to turn complex information into clear, actionable insights for leadership audiences.
• A continuous improvement mindset with experience optimising PMO processes and reporting frameworks

For Slovakia the base salary range for this position is between EUR 2,100 and EUR 3,400 per month (for a full-time role). The specific salary offered considers:​

• the applicant’s own profile including education/qualifications, expertise, specialisation, skills and experience.​
