Project Portfolio Coordinator

We're seeking a talented Project Portfolio Coordinator to be the backbone of our COO Project Portfolio, ensuring transparency, governance, and operational excellence across our organization.
About the Role
The Project Portfolio Coordinator manages the planning, governance, tracking, and reporting of the COO Project Portfolio, working primarily with the COO OMEX organization. In addition, the role provides dedicated support to CorSo Investment Lifecycle Management (ILM) for the CorSo Project Portfolio, specifically for projects exceeding the Targeted Standard for Project Management (TS4PM) threshold.
As Project Portfolio Coordinator, you will play a key role in enabling transparency, structure, and performance oversight. You will work closely with project managers, delivery leads, finance, and leadership to ensure accurate reporting, robust governance, and smooth portfolio operations.
Key Responsibilities:
- Portfolio Administration
- Maintain and update portfolio tracking systems, dashboards, and documentation
- Ensure project data accuracy (status, budgets, timelines, risks, resources)
- Support portfolio intake and prioritization processes
- Portfolio Reporting & Analysis
- Support preparation of regular portfolio reports and executive summaries
- Identify data inconsistencies and follow up with project owners
- Monitor portfolio-level risks and mitigating activity
- Support ABR/QBR processes
- Portfolio Governance & Compliance
- Support portfolio governance processes and stage-gate execution
- Ensure adherence to Swiss Re standards, templates, and policies
- Support with audit and compliance activities
- Stakeholder Coordination
- Schedule and coordinate portfolio review meetings
- Prepare meeting materials and document decisions/actions
- Process & Tool Support
- Act as subject matter expert for Portfolio One, our central project repository
- Provide basic user support/training where needed
- Investment Lifecycle Management (ILM) support
- Support the preparation of the bi-annual ILM Report
- Support the application of the Targeted Standard for Project Management (TS4PM) framework where mandatory
- Monitor compliance with ILM governance requirements and follow up on missing or incomplete documentation.
- Maintain compliant record/document repository
- Assist with training and onboarding the CorSo organization on TS4PM and ILM processes

We are looking for candidates who meet these requirements:
- Bachelor’s degree in Business, Project Management, Finance, or related field
- 3+ years of experience in project coordination, PMO support, or portfolio administration
- Familiarity with project/portfolio management concepts
- Proficiency in MS Excel, PowerPoint, and project management tools
- Knowledge of PMO methodologies (Agile, Waterfall, Hybrid)
- Certification (CAPM, PRINCE2 Foundation, or similar) - Optional
For Slovakia, the base salary range for this position is between 1,900 EUR and 3,200 EUR per month (for a full-time role). The specific salary offered considers:
- the requirements, scope, complexity and responsibilities of the role,
- the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.
In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
