Catering & Events Associate

About the Role:

 

The Catering and Events Associate is responsible for providing exceptional food & beverage services and managing corporate events. This role involves ensuring that all catering and hospitality needs and coordinating all aspects of events, from planning to execution, are met with the highest standards of quality and service. The Associate will work closely with internal teams, clients, and vendors, to deliver a seamless and memorable experience for all event attendees. The ideal candidate should have a robust background in corporate food program and event management, ideally in organisations with 500+ employees. They should exhibit a solution-focused approach, a high level ofcustomer orientation, and excellent relationship management skills. Additionally, the role involves implementing ISO 22000 standards on food safety, streamlining operations, managing feedback, ensuring compliance, driving financial performance, and leading a team of contract staff.

Key Result Areas

Strategy & Planning

  • Create and execute successful food and beverage strategies that align with our standards and address the needs of internal customers.
  •  Formulate and apply strategies to advance sustainable gastronomy practices in accordance with organizational objectives.
  • Collaborate with clients to understand their event needs and objectives, including event type, size, and specific requirements. Ensure that food and beverage offerings meet quality standards and client expectations.
  •  Develop and manage event plans, and timelines. Conduct regular surveys and inspections to evaluate and prepare event locations.
  •  Coordinate with internal teams and external vendors (e.g., kitchen staff, caterers, decorators, audiovisual providers) to ensure ttimely and accurate delivery of services.
  • Engage in industry events and forums focused on sustainable gastronomy to remain updated and network with leaders and experts in the field.
  • Plan new initiatives to improve F&B offerings in the company.
  •  Strategize and plan internal engagement programs with respect to F&B.
  •  Prepare dashboards for budget, consumption etc

Compliance and Safety

  • Ensure adherence to ISO 22000 and other applicable food safety, health and safety regulations.
  •  Ensure full compliance with all statutory requirements for food and beverage operations, including health and safety regulations, licensing, tax obligations, and labour laws.
  •  Keep precise and comprehensive records of regulatory compliance.
  • Address and resolve all employee grievances and complaints promptly and effectively.
  • Maintain up-to-date knowledge of food safety regulations and certifications.
  • Implement and enforce procedures for safe food handling and preparation.
  • Manage the Background Verification documentation for the relevant areas.
  • Organise FOSTAC training for all the food handlers.
  •  Manage MSME vendor payments of vendors, if any as per the MSME Act.

Financial Performance

  • Create and oversee budgets while tracking financial performance against set targets.
  • Formulate strategies to enhance financial performance and minimize costs.
  •  Prepare and present regular financial reports. Analyse data to spot trends and opportunities for improvement.
  • Ensure adherence to all financial procedures and policies.
  •  Review invoices carefully and ensure timely payment.

Partner Management

  • Build and sustain positive relationships with all internal and external stakeholders, including vendors, suppliers, and other relevant parties.
  • Negotiate contracts and manage vendor relationships to ensure cost-effectiveness and high-quality service.
  •  Collaborate with other departments to ensure an outstanding customer experience.
  •  Establish KPIs, review them regularly, and adjust, as necessary.
  • Coordinate with hotels, event management agencies, and communication/print vendors to ensure

successful event delivery and maximum satisfaction.

  • Ensure periodic meetings with external partners and maintain the MoMs.

Process Improvement

  • Implement automation and process streamlining initiatives to boost efficiency, cut costs, and improve the overall experience.
  •  Gather feedback from employees and visitors and apply necessary improvements to enhance the hospitality and events experience.
  • Prepare post-event reports and evaluations to assess the success of the event and identify areas for improvement.
  • Provide regular updates to management on event planning progress and any issues that arise.

Continuous Improvement

  • Create and execute staff development programs to improve skills and knowledge.

Cultivate a positive and collaborative work environment that encourages teamwork and employee

engagement.

 Establish performance goals and objectives and assess staff performance in relation to these goals.

 Stay informed about industry trends and best practices in catering and event management.

 Seek feedback from clients and guests to continuously improve service quality and event execution.

About you:

Ideal Experience

 Bachelor's degree in hospitality management, event planning, culinary arts, or a related field preferred.

 Minimum of 5 years of experience in catering, F&B management, event management, or a related role,

preferably in a corporate setting, with experience in managing large teams.

 Certifications such as ServSafe Food Handler or similar, and Certified Meeting Professional (CMP) or

equivalent, are advantageous.

 Experience working in diverse environments across different geographies.

 Knowledge of local occupational health and safety, food safety regulations.

 Familiarity with vendor management for specialized services.

 Proven ability to understand and interpret commercial contracts. Strong skills in budget management and financial analysis.
