Onboarding & Recruitment Operations Specialist - Hybrid

About the Role

We are seeking a highly organized and client-focused Onboarding & Recruitment Operations Specialist (AVP level) with a primary focus on new hire onboarding and recruitment operations. This role plays a critical part in delivering a best-in-class onboarding experience, supporting recruitment infrastructure, and ensuring operational excellence across the hiring lifecycle. While the role does not involve active recruiting, it requires strong coordination, documentation, and project support across HR and Talent Acquisition functions. 
 
The ideal candidate will bring 3+ years of relevant experience, demonstrate exceptional stakeholder management skills, and be adept at navigating a fast-paced, highly collaborative HR environment. 

 

 

Key Responsibilities: 

 

Onboarding

 

  • Own and manage the end-to-end onboarding process for new hires, ensuring a smooth, compliant, and engaging experience 
  • Act as the central point of contact for new joiners, providing timely support and guidance from offer acceptance through day one and beyond 
  • Partner closely with recruiters, HR business partners, hiring managers, IT, and other stakeholders to coordinate all aspects of onboarding logistics (e.g., documentation, systems access, induction sessions) 
  • Deliver and support onboarding presentations and orientation activities, both virtually and in-person 
  • Maintain accurate onboarding records and prepare reports using Excel and other MS Office tools 
  • Ensure compliance with internal policies, data privacy standards, and local employment regulations. 
  • Coordinate background checks, offer documentation, and related pre-employment tasks with vendors and internal stakeholders 
  • Help ensure alignment between onboarding timelines and recruitment activities 

 

Recruitment Operations Support

 

  • Identify and partner with colleagues across HR and COEs to improve and document recruitment-related processes and workflows in collaboration  
  • Support consistency in the use of recruitment systems, tools, and templates across the team, capturing feedback, promoting continuous improvement, and sharing best practices 
  • Support recruitment-related projects, such as system upgrades, process audits, or vendor transitions 
  • Manage and assign HR service tickets related to recruitment and onboarding, ensuring timely resolution or appropriate escalation 
  • Contribute to global COE knowledge sharing by updating the recruiting toolkit, sharing news, and using tools like SharePoint and MS Teams for communication 
  • Monitor SLA adherence and candidate/hiring manager experience through operations KPIs and feedback 
  • Provide administrative support for recruitment reporting, dashboarding, and data validation 
  • Provide ad hoc support to the recruitment team during peak periods, including interview scheduling, candidate communication, and event support

We are looking for candidates who meet these requirements:

  • Minimum 3 years of relevant experience, primarily in onboarding, recruitment operations, or HR service delivery 
  • Proficient in Microsoft Excel and other MS Office tools (Word, Outlook, PowerPoint, SharePoint, Teams); comfortable managing data, documents, and presentations 
  • Exceptional attention to detail and ability to manage multiple tasks and priorities under tight timelines 
  • Strong verbal and written communication skills with confidence in presenting to groups for orientations and guiding new hires
  • Professional and client-centric approach when dealing with stakeholders at all levels
  • Proactive, solutions-oriented mindset with good judgment about when to resolve issues independently versus when to escalate 

 

 

A Plus to Have:

  • Experience with HRIS systems and/or ATS Applicant Tracking System tool
  • Familiarity with compliance requirements, onboarding documentation, and local employment practices 
  • Previous experience in a large corporate or matrixed organization 
  • Experience leading process improvement initiatives or implementing automative solutions
  • Knowledge of AI applications and tolls in HR process and operations
  • Understanding of federal employment compliance regulations and requirements 

 

Our company has a hybrid work model where the expectation is that you will be in the office three days per week.  This role is not eligible for either relocation assistance or visa sponsorship.

 

 

 

The estimated base salary range for this position is $76,000 to $126,000.  The specific salary offered for this, or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget.  At Swiss Re, we take a "total compensation approach" when making compensation decisions. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
