About the Role

 

Join our dynamic Executive Office team as an Executive Assistant, providing high-quality administrative and logistical support to two senior leaders in P&C Reinsurance, based in London. In this role, you will provide trusted support to the Chief Underwriting Officer (CUO) Global Specialty and the Global Head of Marine & Energy.

From orchestrating complex international travel to executing high-profile client events and managing critical stakeholder relationships, your support will play an important role across the business and with external stakeholders. This is a role for someone who brings precision, professionalism, and genuine enthusiasm to everything they do.

 

Key Responsibilities

 

  • Mailbox Management: Support inbox management by prioritising communications, flagging key actions, and ensuring timely follow-up
  • Calendar Management: Create, organise, and prioritise a high volume of internal and external meetings, ensuring time is managed effectively and efficiently across multiple time zones
  • Business Travel: Coordinate complex international travel arrangements, including flights, accommodation, visas, transfers, and itineraries
  • Expense Management: Collate, scan, and submit expense claims accurately and in a timely manner
  • Event & Meeting Coordination: Plan and coordinate workshops, seminars, and internal/external offsites - managing logistics including meeting rooms, refreshments, building access, technical support, and catering
  • Meeting Support: Attend Marine & Energy Leadership and Cross-Functional Team meetings, capturing accurate notes and tracking agreed action items to ensure follow-through
  • Client Events: Lead the planning and execution of client events - collaborating on ideas, coordinating with external providers, and liaising with brokers, clients, and their assistants to deliver seamless experiences
  • External Conferences: Manage end-to-end logistics for major international industry conferences including registrations, hotel bookings, travel, and broker/client meeting scheduling
  • EA Community & Stakeholder Relationships: Actively contribute to the Executive Assistant community, building strong collaborative relationships with internal and external assistants, brokers, and clients to ensure stakeholders are consistently well-informed
  • Ad Hoc Support: Provide cover for Operations Officers and Executive Assistants during absences, support presentation preparation (e.g. PowerPoint for Global Specialty Townhalls), and respond to wider team queries

We are looking for candidates who meet these requirements:

 

  • Significant experience as an Executive Assistant or Senior Personal Assistant supporting C-suite or senior leadership in a complex, fast-paced corporate environment
  • Advanced diary and inbox management skills, with demonstrated ability to manage competing priorities across multiple senior stakeholders simultaneously
  • End-to-end event and travel management experience, including international travel logistics, visa coordination, and high-profile client or conference events
  • Strong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), with the ability to prepare polished presentations and correspondence independently
  • Excellent stakeholder management and communication skills, with experience building and maintaining professional relationships with internal teams, external partners, brokers, and clients
  • Confidence interacting with stakeholders at all levels, with the ability to work effectively both independently and as part of a collaborative team
  • Excellent verbal and written communication skills in English; additional languages are an advantage
  • Experience working within the insurance, reinsurance, or financial services industry, preferred
  • Bachelor's degree or equivalent, preferred

 

We operate a hybrid working model, with employees typically spending at least three days per week in the office.

 

The base salary range for this position is between 48,000 GBP and 72,000 GBP (full time equivalent). The specific salary offered considers:

 

    • the requirements, scope, complexity and responsibilities of the role
    • the applicant's own profile including education/qualifications, expertise, specialisation, skills and experience

 

Hybrid working model with a minimum of three days per week in the office
