Payroll Specialist
The main activities of the role are:
Responsible for processing a UK payroll of 1050 employees on ADP Global view, South Africa payroll of 130 employees, Ireland payroll of 5 employees both countries are on ADP streamline. Tasks include verification of benefits data interface, Input and 4-eye checks in respect of maternity, KIT days, voluntary leavers, new hires and season tickets, international assignees, RSU, BACS, TRAX responsible for end-to-end payroll process and payments for taxes, pension, and other providers.
Other duties include assisting the payroll specialist with complex tasks including monthly, quarterly and annual processes, such as revenue payments, ONS, Gender Pay Gap reporting, Directors Emoluments, project work.
About the Role
You will be the first point of contact for payroll queries and will oversee HR Service Delivery queries. You will have ownership of queries from employees, outsourced providers, communicate via a ticketing tool and with Deloitte and internal HR colleagues, both in the UK and globally, including the Global HR Solution Centre in Bratislava. You will also support expert team members with more complex Payroll & HR queries. Alongside this, we are looking for someone who is keen to drive through efficiency and improve ways of working.
Key Responsibilities:
- Payroll Processing; Supports the execution and completeness of the payroll cycle, including data input, calculations, and distribution of employee salaries and benefits.
- Supports the adherence of the agreed payroll calendar upstream and downstream.
- Compliance; Supports the Payroll Manager to stay abreast of changes in payroll laws and regulations, implementing necessary updates to ensure compliance and mitigate legal risks. Work closely with the benefit and reward team that local legal changes are applied to global programs in line with the payroll provider.
- Provider Management; Maintain the day-to-day local relationship with the providers in the area of responsibility. Work closely with the provider to maintain a high quality.
- System Management; Supports the Payroll Specialist & Payroll Manager to work together with the payroll provider on optimization of the payroll systems and software, identifying opportunities for automation and efficiency improvements. Check the interfaces between the payroll system with the HCM system and the time management systems in the areas of responsibility.
- Reporting; Generate reports. Produce accurate and timely statuary payroll reports and send them to the authorities.
- Problem Resolution; Address and resolve payroll discrepancies or issues, working closely with the Payroll Specialist and Payroll Manager and other departments to ensure accurate and timely resolution.
- Audit Support; Collaborate under the instruction of the Payroll Specialist and Payroll Manager with internal and external auditors to facilitate payroll audits, ensuring accuracy and completeness of records.
- Continuous Improvement; Support the Payroll Specialist and Payroll Manager to identify opportunities for process improvement, streamline payroll procedures, and contribute to the overall efficiency of the payroll function.
- Communication; Communicates under the instruction of the Payroll Specialist and Payroll Manager payroll related information to employees, addressing inquiries and providing assistance when needed.
- Confidentiality; Maintain the utmost confidentiality when handling sensitive employee information and payroll data.
About the Team
We are a HR Service Delivery team of 6 working in a wider team of 10 HR colleagues in the London HR Team. You will work alongside Global HR colleagues and with the Global HR Solution Centre team. This role also provides coverage of the HR Administration Associate when absent.
About You
Payroll and HR skills in a mid-high volume payroll capacity, with both accuracy and efficiency? Do you have sound numeracy and literacy skills that you have applied in a business environment? Do you have a financial services or corporate background in a similar role, preferably in an international environment? If so, we would love to hear from you. Further requirements we are looking for are:
- Strong communicator who can present complex information both to technical and non-technical audiences confidently, simply and concisely.
- Excel Intermediate/Advanced to include v-lookups, pivot tables is a key requirement for this role.
- Ideally you will have ADP Global View system experience.
- Attention to detail and ability to handle multiple deadlines.
- An agile teammate, you will enjoy working with others but also be able to independently work, taking ownership of your tasks
- Displays analytical and problem-solving skills, providing insight into a variety of HR topics
- Possess up to date technical payroll knowledge and application
- Systematic and disciplined in your approach
- Uses initiative, yet calls out issues when necessary to manage delivery expectations
- Self-motivated and conscientious
