We offer an exciting opportunity for a motivated and resourceful Executive Assistant to provide seamless and professional support to the Public Sector Solutions (PSS) Americas Regional Head and their team. Your role will be instrumental in supporting strategic planning activities through comprehensive administrative assistance.

About the Team

Public Sector Solutions (PSS) is Swiss Re's dedicated team for developing and managing business with a vast public sector ecosystem. As these entities become increasingly aware of various risks, Swiss Re has significant opportunities to expand in this diversifying market. PSS collaborates with public sector counterparts and enabling partners to develop business opportunities centered around risk transfer solutions and risk insights.

Your key responsibilities

  • Provide support to your executive, including meeting coordination, email correspondence, and liaising with external (customers, partners, C-level executives) and internal (other departments, key stakeholders) parties.
  • Manage the executive calendar, including booking rooms, scheduling entries, and setting up teleconferences and MS Teams meetings.
  • Plan and book travel itineraries, including flights, transfers, accommodation, and visas.
  • Manage and process all work-related expenses and incoming invoices.
  • Coordinate Americas team meetings and manage team distribution lists.
  • Collaborate with the Market Coordinator to organize and plan internal events such as offsites and workshops.
  • Support Event Management/Conferences, including invitations, registrations, and reporting, in coordination with the Market Coordinator.
  • Act as Data Steward in sales and customer internal platforms, managing the creation and updating of contacts, partners, and target groups.
  • Work closely with the Americas Market Coordinator and executive/team assistants in the PSS division.
  • Perform additional tasks as required by supervisors, and proactively address executive requests promptly.

About You

  • Excellent organizational and time management skills with the ability to prioritize requests and attention to detail.
  • Proven calendar management skills and the ability to coordinate executive meetings and travel arrangements.
  • Experience in supporting management at the executive level and a strong command of English.
  • Solid knowledge of MS Office, including Outlook, Microsoft Teams, Word, and Excel.
  • Proactive and flexible personality, capable of adapting swiftly to various situations and responding effectively to challenges.
  • Demonstrated customer-centric and entrepreneurial mindset.
