Executive Assistant to the Head of Italy (Hybrid; m/f/x/d)

As Executive Assistant to the Head of Italy, you will act as a strategic partner, ensuring that the Country Head’s time, focus, and communication are directed toward the highest-impact priorities.

 

This role offers direct exposure to senior leadership, visibility across the business, and the opportunity to contribute to initiatives shaping Swiss Re Corporate Solutions’ presence in the Italian market.

 

 

About the Role

 

You will be the trusted right hand of the Head of Italy, ensuring smooth daily operations and effective execution of key initiatives.

Your scope will span from executive coordination to supporting communication, internal and external events, and local business execution.

You will anticipate needs, connect information across teams, and help turn decisions into coordinated action.

With professionalism and discretion, you will also serve as a key interface for internal stakeholders and senior leaders across the organization.

 

 

Key Responsibilities

 

Strategic & Organizational Support

  • Partner with the Head of Italy to ensure focus and effective execution on local priorities.
  • Prepare presentations and materials for key meetings.
  • Support the management of the branch cost base, coordinating with relevant functions to maintain alignment and discipline.
  • Coordinate local initiatives and events that strengthen internal engagement and visibility.
  • Facilitate communication and collaboration across teams and with regional and global stakeholders.

 

Executive & Administrative Excellence

  • Manage and optimize the executive calendar to ensure maximum efficiency and alignment of priorities.
  • Handle all travel arrangements and logistics with accuracy and foresight.
  • Prepare, submit, and reconcile expense reports on behalf of the Head of Italy, ensuring timely and compliant processing.
  • Organize leadership meetings — including agenda preparation, materials, minutes, and follow-up on actions.
  • Handle administrative and financial processes (purchase orders, invoices).
  • Anticipate needs and proactively resolve operational issues before they arise.
  • Occasionally act as delegate for expense approvals or internal workflows.

Requirements:

  • Minimum 3 years’ experience supporting senior executives in a complex organization.
  • Proven ability to manage multiple priorities and deliver under pressure.
  • Strong interpersonal and diplomatic skills with senior stakeholders.
  • Excellent command of MS Office (Outlook, Excel, PowerPoint, Teams).
  • Fluent in English (Italian a strong asset).
  • High integrity and professionalism in handling confidential information.

 

Nice to have:

  • Experience in financial services, insurance, or similar corporate environments.
  • Exposure to multinational or cross-cultural organizations.
  • Strong organizational and coordination skills, with attention to detail.

 

For Italy, the base salary range for this position is between EUR 30,000 and EUR 50,000 (for a full-time role). The specific salary offered considers:

 

• the requirements, scope, complexity and responsibilities of the role,

• the applicant's own profile including education/qualifications, expertise, specialisation, skills and experience.

 

In addition to your base salary, Swiss Re offers an attractive performance-based variable compensation component, designed to recognise your achievements. Further you will enjoy a variety of global and location specific benefits.

 

Eligibility may vary depending on the terms of Swiss Re policies and your employment contract.
