About the Role
As an Executive Assistant in our Munich office, you'll provide comprehensive support to our Head of Market Unit Germany and our Leadership team, ensuring efficient daily operations while managing complex calendars, communications, and projects with professionalism and discretion.
Key Responsibilities
- Calendar Management - Coordinate complex scheduling, meetings, and appointments while anticipating and resolving conflicts proactively
- Communication Support - Draft, edit, and distribute professional correspondence, presentations, and reports on behalf of the executive
- Travel Coordination - Arrange comprehensive travel itineraries including flights, accommodations, and meeting schedules with attention to preferences and requirements
- Meeting Facilitation - Prepare agendas, take minutes, and ensure follow-up actions are tracked and completed for executive and team meetings
- Document Management - Maintain organized digital and physical filing systems for efficient information retrieval and compliance
- Stakeholder Relations - Serve as the first point of contact for internal and external stakeholders, representing the executive with professionalism and diplomacy
- Project Support - Assist with special projects, research, and initiatives as needed, providing administrative coordination and follow-up
- Expense Management - Process expense reports and manage administrative budgets accurately and efficiently
About the Team
You will report to the Head Market Unit Germany, Swiss Re Corporate Solutions. The team is responsible for driving business strategy and operations in the German market, focusing on providing innovative risk solutions and maintaining strong client relationships throughout the region.

We are looking for candidates who meet these requirements:
- Proven experience as an Executive Assistant supporting senior management
- Excellent written and verbal communication skills in both German and English
- Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- Demonstrated ability to manage confidential information with discretion and professionalism
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines
These are additional nice to haves:
- Experience in the insurance or financial services industry
- Knowledge of corporate governance practices and procedures
- Experience coordinating international meetings and events
- Proficiency in additional languages
- Experience with digital collaboration tools and project management software
For Germany, the base salary range for the junior Executive Assistant position is between EUR 51.000 and EUR 85.000 and for the Executive Assistant position between 64.000 EUR and 106.000 EUR for a full-time role.

• the requirements, scope, complexity and responsibilities of the role
• the applicant's own profile including education/qualifications, expertise, specialisation, skills and experience
In the situation where you do not meet all the requirements or you significantly exceed these, the offered salary may be below or above the advertised range. In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based annual bonus.
