About the Role
As an Executive Assistant within Swiss Re's Asset Management division, you will be the operational backbone for several Managing Directors and their teams across three distinct investment areas. This is far more than a traditional support role — you will be a trusted partner, a strategic coordinator, and a key connector across teams and leadership levels. Your ability to manage complexity, maintain confidentiality, and deliver with precision will directly enable the success of the leaders and teams you support.
Key responsibilities include:
- Screen and prioritize incoming emails, visitor requests, and inquiries, evaluating relevance and importance, and directing them to the appropriate team members with sound judgment
- Compose, edit, and format correspondence, reports, and confidential documents from brief instructions or notes, ensuring accuracy and professionalism at all times
- Prepare agendas and meeting materials, take and transcribe minutes, and distribute final meeting notes with timely follow-up on action items
- Manage complex calendars for multiple senior leaders, arranging travel, meetings, conference calls, visitor registrations, conference room bookings, and catering logistics
- Coordinate intricate travel arrangements, including international itineraries, ensuring all logistics are seamlessly executed and process related expenses
- Produce high-quality reports and presentations using Microsoft Word, PowerPoint, and Excel to support leadership communications and business needs
- Contribute to special projects across Asset Management functional areas and in support of senior leadership initiatives
- Provide backup support to fellow Executive Assistants, fostering a collaborative and resilient team environment
- Assist with event planning in a corporate setting, coordinating logistics and ensuring smooth execution of internal and external events
About the Team
This role sits within Swiss Re's Asset Management division — a globally connected, intellectually driven organization responsible for managing Swiss Re's significant investment portfolio. You will provide dedicated administrative support to the Managing Directors of three distinct teams, each with its own focus and global reach:
Corporate Development & Alternative Capital Partners
This global team, overseen by the Group Head of Corporate Development & Strategic Investments, encompasses Corporate Development and Alternative Capital Partners. You will provide administrative support to the Head of this division, based in New York City, across a wide range of strategic investment and corporate development activities.
Investment Strategy & Public Fixed Income
This global team operates across a broad and diversified range of activities, organized around Investment Strategy, Strategic Asset Allocation (SAA), Derivative Structuring and Execution, and Public Fixed Income. You will support the Head of Investment Strategy & Public Fixed Income, based in New York City, as this team navigates complex and dynamic market environments.
Private Debt
This global team is responsible for infrastructure investment, commercial mortgage lending, and middle-market loans. You will provide administrative support to the Head of Private Debt, based in New York City, as the team manages a sophisticated and diversified private debt portfolio.

We are looking for candidates who meet these requirements:
- 8–10 years of direct experience supporting senior executives in a corporate environment, with a demonstrated track record of managing complex, high-volume administrative responsibilities
- Advanced proficiency in Microsoft Office Suite — including Outlook, Excel, Word, and PowerPoint — with the ability to produce polished reports, presentations, and correspondence independently
- Exceptional calendar and travel management skills, including experience coordinating complex, multi-leg international travel arrangements and managing the schedules of multiple senior leaders simultaneously
- Outstanding written and verbal communication skills, with the ability to compose and edit correspondence, meeting materials, and reports with accuracy, clarity, and professionalism
- Strong organizational and time management abilities, with a proven capacity to prioritize, multi-task, and deliver results under tight deadlines and in a fast-paced, high-pressure environment
Additional nice to haves:
- Experience in event planning within a corporate environment, including coordinating logistics for internal and external meetings and events
- Bachelor's degree or equivalent qualification, demonstrating a strong academic foundation
- Experience working within financial services, asset management, or a similarly complex and regulated industry
- Demonstrated ability to handle confidential and sensitive information with the utmost discretion and professionalism
- Collaborative team spirit with a flexible, can-do attitude and the willingness to step in wherever needed to support team success
The estimated base salary range for this position is $100,000 to $150,000. The specific salary offered for this or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
