Team Assistant

About the Role

The Team Assistant Asia is a service-oriented and outgoing person, who is proactive and enjoys supporting company’s administrative life. You should have the ability to perform tasks in an efficient, proactive, and accurate manner. Also, you enjoy working in many different areas and are flexible to adapt in a dynamic environment.

You will work in a diverse team and ensure that everything in the office is running smoothly.

You should bring positive energy, a “hands-on” attitude and should possess empathy.

 

Main Tasks/Activities:

  • Support 3-4 Asia Executive Team members on administrative tasks
  • Planning and arranging international travel and complete expense reports in a timely manner
  • Diary management and meeting arrangement/coordinating across multiple time-zones.
  • Coordinate documents and correspondence, including letters, reports, emails, presentations, memos, etc.
  • Prepares briefings for meetings, interviews, travels etc., as required.
  • Builds relationships across a variety of team and people to undertake the role. This role may be require you to work with other assistants to coordinate travel, meetings, and events.
  • PO/Accruals management
  • Ad hoc initiatives/offsites as required occasionally.

About You

  • 5+ years of experience a global company, preferably in wide-ranging or cross-functional areas.
  • Strong skill of managing expectations and deadlines in the face of complexity, conflicting pressures, and ambiguous circumstances
  • Excellent at building relationships.
  • Comfortable behind the stage, supporting the person in the spotlight; thrive on helping others be their best selves and anticipating their needs.
  • Trustworthy to senior management and able to handle confidential and sensitive information.
  • Show drive and agility with a "can-do" attitude.
  • A good team player with approachable character, positive attitude and strong ownership.
  • Excellent interpersonal and communication skills.
  • Fluency in written and spoken English.
  • Proficiency in MS Word, Excel, PowerPoint.
