GFO&T Executive Assistant (Hybrid / m/f/x/d)

About the Role 

 

Join Swiss Re and its Global Finance Operations & Transformation (GFO&T) team as an Executive Assistant to the Head of GFO&T. As part of our dynamic and motivated "Strategy & Office" team, you will play a pivotal role in supporting the Head GFO&T and the Head GFO&T Strategy & Office. You will be able to collaborate with a wide range of stakeholders and contribute to a fast-paced and high-impact environment. Your key responsibilities include: 

  • Provide professional, proactive advanced administrative support. Plan, manage and screen emails, handle calendar (incl. buffer and focus time), organise meetings (internally and externally) and act as a "gatekeeper“ for the Head GFO&T. Run daily morning check-ins with the Head GFO&T to prepare the day, prioritise meetings, prepare pre-reads (also with the use of Copilot), and allocate focus time. Manage calendar and organise meetings (internally and externally) for the Head GFO&T Strategy & Office 
  • Arrange travel schedules in accordance with Travel and Expenses policy, including planning, booking, visas, and itineraries and provide all documents for meetings/presentations during travels. Prepare and process travel expense reimbursement timely. Prepare, process and ensure purchase orders, invoices and expenses are handled in a timely and accurate manner 
  • Collaborate with the GFO&T Leadership Team (LT) and all relevant stakeholders to keep them well informed of upcoming commitments and responsibilities and follow up where needed. Establish and maintain good relationships with assistants of key internal collaborators as well as other relevant stakeholders 
  • Drive the departmental event management. Plan and coordinate internal and external meetings and events such as LT meetings, offsites, workshops, team events, visitor arrangements, etc. Support ad hoc tasks in collaboration with the GFO&T Strategy & Office 


About the Team 

 

Global Finance Operations & Transformation (GFO&T) is the unit responsible for the accounting and reporting of accurate and consistent financial information for global Swiss Re for external reporting and internal analysis facilitating strategic decision-making. This includes IFRS for Group and Local, as well as statutory financial information for all Swiss Re's legal entities, including SST, Solvency 2 and local non-IFRS reporting. GFO&T spearheads the transformation of Global Finance, streamlining it towards a simpler, more effective forward-looking organisation. 

 

About You 

 

You are a motivated, collaborative and entrepreneurially minded individual with a strong interest in building your career within a leading global reinsurer. You have the desire to work in a fast-paced and collaborative environment, where no two days are alike. 

 

  • Relevant experience in executive assistance, ideally in a large corporate 
  • Apprenticeship qualification or equivalent education in Administration, Business or a related field 
  • Proven ability to complete tasks quickly and with high attention to detail under tight deadlines 
  • Can-do attitude and problem-solving skills with the ability to navigate challenging situations 
  • Self-organised, structured and ability to manage multiple tasks simultaneously 
  • Ability to work independently and navigate in multi-faceted stakeholder settings 
  • Adherence to confidentiality and discretion 
  • Excellent written and verbal communication skills in English and German 
  • Outstanding knowledge of Microsoft Office and familiarity with Co-Pilot  
  • Experience in large (re)insurance and Finance organisations an asset
